Then the leads have to land in a CRM, and that&#8217;s where most stacks get slow, because the CRM was picked for its screens and not for its API.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>The best CRM for GTM engineers is the one whose API, webhooks and MCP server sit on the plan you&#8217;d buy. Fluid CRM fits freelancers, agencies and teams of up to 10 choosing fresh. Swap any of those tools and your pipeline history should stay where it is, which is why the CRM has to accept writes from all of them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Most GTM engineers inherit the CRM. In the <a href=\"https:\/\/gtmepulse.com\/tools\/crm-adoption\/\" target=\"_blank\" rel=\"noopener\">State of GTM Engineering survey<\/a> of 228 people, 92% used a CRM, about half were on HubSpot and about a third on Salesforce, with Salesforce leading at companies above 500 employees. This post is for the other group, the freelancer, the agency and the first GTM hire who picks the CRM.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I work as a GTM engineer today, and before that I spent almost four years doing outbound. Here are the five things I check before I let a CRM into a stack.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Which_plan_the_API_starts_on\"><\/span>Which plan the API starts on<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">An API that only exists two tiers up is an API you don&#8217;t have. Check the plan you&#8217;d pay for, then check whether webhooks and the MCP server sit on that same plan.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Rate_limits_you_can_plan_around\"><\/span>Rate limits you can plan around<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">A limit written as a plain number per minute lets you size a batch job before you run it. A limit written as a token budget, or not written down at all, means you find the ceiling in production.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Bulk_create_with_duplicate_matching\"><\/span>Bulk create with duplicate matching<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Pushing 500 enriched leads one request at a time is slow and it burns your limit. You want a bulk endpoint, and you want it to match existing companies and contacts so a second import doesn&#8217;t double your data.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Safe_resends\"><\/span>Safe resends<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Automations retry. If n8n sends the same lead twice after a timeout, the CRM should update the first record and not create a second deal, and the usual way to get that is an external ID you send with the lead.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Signed_webhooks_that_say_what_changed\"><\/span>Signed webhooks that say what changed<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">A webhook should carry a signature you can check, so nobody else can post fake events to your endpoint. On a stage change it should also tell you the old stage, or you can&#8217;t tell a deal moving forward from one moving back.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">One more, and it takes a single line. If you connect an AI assistant through MCP, prefer a server that can create and update but can&#8217;t delete. The order in this post is for a team of up to 10 choosing fresh, where the question is how little you have to buy and build before leads flow.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"A_GTM_Engineering_Workflow_Smartlead_Reply_to_Slack_Alert\"><\/span>A GTM Engineering Workflow: Smartlead Reply to Slack Alert<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A positive reply is the most expensive record in your stack, and it should reach the CRM without a person copying it. Here is that workflow in Fluid CRM, start to finish. The copy was rarely where a deal died. It died in the hours between &#8220;sounds interesting&#8221; and somebody on the team noticing.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"1_Smartlead_marks_the_reply_as_interested\"><\/span>1. That one call finds the contact by email or creates it, creates the deal in the stage you chose and attaches the two.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Send the Smartlead lead ID as the external ID.
