They test 11 CRMs by sending 500 cold leads each and measuring reply rates. That&#8217;s a sequencer benchmark, not a CRM benchmark. The reply rate has almost nothing to do with whether the deal lives somewhere clean after the prospect responds. Yet that&#8217;s the score they rank by.<\/p>\n\n\n\n<p>Then they recommend Close at $59 per seat, Outreach at around $100 per seat or Salesloft in the same range. For 3 setters that&#8217;s $177 to $300 per month before you&#8217;ve even added a dialer or sequence add-ons. For an agency running 8 client books, you&#8217;re paying for features that fight your structure instead of supporting it.<\/p>\n\n\n\n<p>If you run outbound for 5 clients, do you actually need separate ICP fields for each one? Separate stages? Setters who can only see their assigned books? None of the top 3 lists even mention these. They&#8217;re written for someone who isn&#8217;t you.<\/p>\n\n\n\n<p>I ran Fenixtal as an outbound agency for 3+ years. I booked 1,000+ meetings for my 50+ B2B clients. Marketing agencies, sustainability companies, AI agencies, compliance agencies, dev firms, construction companies, e-learning companies and so forth. They&#8217;re designed to sit on top of Salesforce or HubSpot as the execution layer, with bi-directional CRM sync as the primary integration pattern. So you&#8217;re either paying $120+ per seat for a sequencer when you already have Smartlead or Instantly, or you&#8217;re paying for half-CRM features that weren&#8217;t designed for your busines operations. Most agencies don&#8217;t need a manager coaching dashboard or AI revenue forecasting. They need a clean place for replies to land.<\/p>\n\n\n\n<p>If you&#8217;re a 20+ rep in-house team with budget and a RevOps function, Outreach or Salesloft fit. For an outbound agency, the spend goes to the wrong layer and you&#8217;d waste time on things that don&#8217;t matter.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Apollo<\/h3>\n\n\n\n<p>Apollo is one of the strongest data + outreach combos available. The database has 275M+ contacts with 96M verified emails. The sequencer, the basic CRM layer and the dialer all in one tool mean a small team can prospect, enrich and outreach without buying three separate products. For a lean in-house team that needs data and a single-tool stack, Apollo is the best-value entry point.<\/p>\n\n\n\n<p>Where it breaks for outreach agencies is the CRM depth. The CRM layer is shallow compared to Salesforce, HubSpot, Pipedrive or Fluid CRM. Apollo supports multiple pipelines and custom fields, but the deal card is cluttered with prospecting UI because the tool was built data-first. When you integrate Apollo with Salesforce or HubSpot, Apollo even disables creating new deal stages directly, which signals where Apollo positions its own CRM: as a feeder, not the system of record. Plus as an agency, you wouldn&#8217;t want to use HubSpot&#8217;s sequences for outreach. Instead using Smartlead or Heyreach to run cold email or LinkedIn outbound sequences is the right way.<\/p>\n\n\n\n<p>James puts it bluntly: &#8220;I feel I&#8217;m being upsold every time I want to do something.&#8221; For a 3-setter agency that&#8217;s $270 per month plus the onboarding fee, for features that aren&#8217;t made for agencies in the first place.<\/p>\n\n\n\n<p>If you need automation depth and have the budget, HubSpot is excellent. The honest weakness for outbound agencies is missing keyboard shortcuts (slow), webhook setup (clunkier than Fluid&#8217;s) and the gating of custom fields behind the Growth tier ($39 per seat).<\/p>\n\n\n\n<p>The advantage is in-CRM email sending and document automation. Fluid CRM doesn&#8217;t have automations outside the app, but it can be done through Make.com or Zapier, so if you want everything inside one tool with no middleware, Pipedrive wins that tradeoff. If marketing runs nurture flows, scoring models and SQL handoffs to sales, you need HubSpot or Salesforce. That&#8217;s not outbound. That&#8217;s marketing-led with outbound layered on top.
