Both are broken in different ways. This post ranks the 9 CRMs marketing agencies should actually use with a 5-question framework, so you can decide which one fits how your agency runs.

For marketing agencies under 20 people, Fluid CRM is the best CRM at $16/seat. Fluid CRM has all features included in one plan and the whole team on a visual pipeline. HubSpot is the best option for marketing agencies with over 20 people that need real marketing automation.

How The 9 Best CRMs For Marketing Agencies Are Ranked

Every CRM in this post got scored against the same 5 questions. Same framework, same weight and no special treatment for any brand. The questions come from 3 years of watching marketing agencies pick CRMs at my agency Fenixtal, where I ran B2B outbound for 50+ B2B clients. Roughly half were marketing agencies and the pattern was everywhere.

Half the marketing agencies tracked their pipeline in Google Sheets. It was messy, conversations slipped through the cracks and with them, thousands of dollars. The other half paid for HubSpot or Salesforce and used about 5% of it. They are powerful tools for bigger agencies if, and only if you use the features, but they didn’t because smarter automations were not their bottleneck.

Almost nobody had a CRM they actually liked. And here’s another thing I noticed. There is no such thing as a “marketing agency CRM.” There’s just a sales pipeline that fits how your agency works. Most “marketing agency CRM” lists pretend agencies need special features, but what agencies actually need is a pipeline the team will keep updated. That’s a behavior problem, not a feature problem.

The 5 Questions Every Marketing Agency Should Ask Before Picking A CRM

Forget feature checklists for a minute. Most CRMs have the same 80% of features. What matters is whether your team will actually use the thing six months from now. Run any CRM through these 5 questions and you’ll get a real answer.

1. Can the whole team see the same pipeline?

If your account manager, your sales lead and your founder are all looking at different views or different tools, you have a coordination problem dressed up as a CRM problem. The CRM has to make “the pipeline” a single visible object the whole team agrees on. Separate Google Sheets owned by separate people fail this test instantly.

2. Does it surface what to follow up on today?

A CRM that stores data but doesn’t tell you what to do next is just a spreadsheet with rounded corners. The right CRM opens with “here’s what’s overdue” and “here’s what needs a follow-up today.” Without that, every team member has to remember their own pipeline state, which is the exact thing they were paying you to solve.

3. Can a new hire be productive in under an hour?

Agencies hire and lose people. If onboarding a new sales rep into your CRM takes a week of training, you don’t have a CRM, you have an internal product. The good CRMs feel obvious within 15 minutes. The bad ones need a certified consultant. This was perhaps the biggest issue of all when I worked with many marketing agencies. The team simply didn’t use the CRM because it was too slow, hard and annoying to use.

4. Do you pay only for seats, not feature unlocks?

Watch out for the upgrade trap. You sign up at a great price of 20€/month, but then you need to add custom fields, more pipelines, API and so forth. Now you’re forced to a higher tier. Then you need automations, higher tier again. Then you need more contacts, higher tier once more. The honest CRMs charge for seats and include all the features in the plan.

5. Can you customize without an engineer or consultant?

Marketing agencies have several kinds of pipelines. Positive reply, discovery, proposal, contract, kickoff, retainer renewal and the list goes on. If changing a pipeline stage requires a Salesforce admin or a HubSpot consultant on Upwork, the tool is too heavy for you. You should be able to rename a stage or add a custom field in 30 seconds without watching a tutorial.

The Day I Spent 5 Hours Setting Up A Salesforce Kanban Board

One of my Fenixtal clients was a podcast marketing agency that had their pipeline in Salesforce. The CEO asked me to review their CRM setup and I saw that they didn’t have a kanban view, everybody had a different style of working and the data was a total mess. And again, the team didn’t use it systematically because it was clunky and they hated it.

I told them I could set up a Kanban view, customize it to fit their work better and train them on how to use it. Five hours later I was still going. Single sitting, no breaks. I had used many CRMs before, so I assumed I could do a simple customization like that in 30 minutes. I had never used Salesforce before so I was proven wrong.

Here’s what happened. Salesforce wouldn’t let me create a deal in the Kanban without first creating the organization as its own record. So I created the organization. Then it wanted the contact as a separate record before the deal could exist. So I created the contact. Then I created the deal. So adding a positive reply or interested lead into the CRM takes 20+ clicks with the fields and multiple records and all. Not optimal.

Then permissions. The whole point of the Kanban was that the agency team could see the same pipeline, but Salesforce defaults locked the view to me. I spent the last stretch figuring out the permission set so the 4-person team could see what I’d built. By the time it worked, half my working day was gone and I’d built the equivalent of a Trello board.

Compare that to opening Fluid CRM, for example. Sign up, click “new deal,” add only the info you need and the deal exists 5 seconds later. So does the contact person and company, because they are created from deals automatically. Kanban is the default view and you can customize your pipeline(s) within a minute. The team sees everything because it’s made for small marketing agencies only, not 200 person enterprises.

If you’re not a 200 person enterprise, you probably shouldn’t use Salesforce.

The gap between a CRM built for big sales teams and a CRM built for a 5-person marketing agency is massive. Salesforce assumes you have an admin. Better suited CRMs for your situation assumes you don’t.

The 9 Best CRMs For Marketing Agencies In 2026

Enough chit chat. Here’s the best CRMs for marketing agencies, ranked. Each entry includes who it’s right for, who it’s wrong for, the 5-question scorecard and the verdict. Pricing is shown for the smallest plan that’s actually usable for an agency, not the marketing-page starter tier.

1. Fluid CRM (best for marketing agencies under 20 people)

Fluid CRM is what I built after watching marketing agencies bounce between messy Sheets and unused HubSpot accounts. Visual pipeline as the default view, every feature included in the plan, keyboard shortcuts for speed and reminders that surface what’s overdue.

One plan and one price. Unlimited deals, contacts and pipelines. Custom fields per pipeline. Full REST API and webhooks for integrating with Smartlead, Instantly, Apollo, your form builder or anything else in your stack. Revenue forecasting with a 3-month projection. Eight in-app automations for the repetitive stuff (auto-set deal values, auto-create reminders, auto-assign owners). And no “you need to upgrade for that” moments because there is no upgrade.

Wrong for: agencies that need lead scoring, multi-touch attribution, native landing pages or a built-in dialer. Follow-up speed and data entry speed were the two things that mattered most. If you also run cold email, read the best CRM for cold email agencies next.

2. HubSpot Sales Hub (best for agencies that need real sales automation)

HubSpot Sales Hub is the right answer when your agency genuinely needs sales forecasting, conversation intelligence, deep sales analytics and process automation for a real sales team. If those words mean something specific to your business, HubSpot earns its price. If they’re aspirational, HubSpot is going to drain your bank account.

Doland White, an executive coach who tried HubSpot before switching to Fluid CRM, said it best on his demo call: “With HubSpot, if you want to do something different, you have to buy more. What starts off small gets bigger, bigger, bigger, bigger.” That’s the trap. The $20/seat Starter tier is a foot in the door. The real bill arrives when you upgrade to Professional at $100/seat plus a required $1,500 one-time onboarding fee. That onboarding is mandatory, not optional.

If your agency also needs marketing automation (nurture flows, lead scoring, behavior-triggered email), you’re looking at Marketing Hub on top, which is a separate product line priced separately. Stacking Sales Hub Pro and Marketing Hub Pro turns a CRM decision into a five-figure annual commitment fast.

Wrong for: marketing agencies under 10 people running mostly retainers and project work, where the automation suite is overkill. Wrong for any team that won’t have someone playing HubSpot admin.

Pricing: Free for up to 2 users. Starter $20/seat/month. Professional $100/seat/month + $1,500 one-time onboarding. Enterprise $150/seat/month + $3,500 onboarding.

5-question scorecard: Same pipeline yes. Surfaces follow-ups yes. Productive in under an hour no. Seats-only pricing no. Customizable without an engineer partial. 2.5 of 5.

Verdict: Right tool, wrong price bracket for most marketing agencies. Need a [INTERNAL LINK: HubSpot alternatives post] cheaper option? Keep reading.

3. Pipedrive (closest mainstream alternative to Fluid CRM)

Pipedrive is the closest “everyone has heard of it” alternative to Fluid CRM. Visual pipeline by default, sales-focused, decent mobile app. The catch is that the pricing tiers gate features the same way HubSpot does, just less aggressively. Workflow automations, custom fields beyond a basic limit and reporting are all higher tiers.

I built Fluid CRM to beat Pipedrive on the things that actually matter day to day. Faster to set up. Easier to customize without a config tutorial. Every feature on every plan. And cheaper at every team size, including the 3-5 seat range where Pipedrive’s Growth plan starts to bite ($49/seat vs $16/seat). Pipedrive is also more sales-rep coded than agency coded. The default views assume you have salespeople hitting quotas, which most marketing agencies don’t.

Wrong for: agencies that want all features in one plan. Wrong for solo founders who don’t need a sales-rep performance layer.

Pricing: Lite $24/seat/month. Growth $49/seat. Premium $79/seat. Ultimate $99/seat. Most agencies need at least Growth for full email sync and automations. Annual billing knocks up to 42% off (Lite drops to ~$14/seat, Growth to ~$29/seat), the largest annual gap of any CRM on this list.

5-question scorecard: Same pipeline yes. Surfaces follow-ups yes. Productive in under an hour yes. Seats-only pricing no. Customizable without an engineer yes. 4 of 5.

Verdict: Solid second choice. Pick it if you want a recognizable brand and you’re okay with the tier-jumping.

4. Attio (best for design-led agencies)

Attio is the one that finally made CRMs look good. It’s a modern, polished, Notion-feel CRM that design and creative agencies tend to love because it doesn’t feel like 2010 software. The data model is more flexible than most, which is great if you have unusual workflows and a team that enjoys building their own system.

The downside is that flexibility costs setup time. Attio is closer to Notion than to a turnkey CRM. You’re going to spend a couple of evenings setting it up the way you want before it sings. For a 2-person creative studio that’s fine. For a 10-person agency where the founder doesn’t want to be the admin, it’s a tax.

Wrong for: founders who want to plug in and go. Wrong for non-technical teams that won’t enjoy the setup phase.

Pricing: Free for up to 3 seats and 50,000 records. Plus $36/seat/month. Pro $86/seat/month. Annual billing drops Plus to $29 and Pro to $69.

5-question scorecard: Same pipeline yes. Surfaces follow-ups partial. Productive in under an hour no. Seats-only pricing partial. Customizable without an engineer yes. 3 of 5.

Verdict: Beautiful. Powerful. Slow to start. Pick it if your team likes building tools.

5. Salesflare (best for inbound-heavy relationship agencies)

Salesflare‘s strongest feature is Gmail integration. It auto-pulls contact data from your inbox and surfaces conversations alongside the deal. If your agency runs mostly on inbound referrals and warm intros, where most of the action happens in email, Salesflare keeps the friction low.

Where it’s weaker is multi-pipeline setups (sales pipeline plus delivery pipeline) and team coordination at scale. The Gmail-first design is great for a solo operator or a 2-person team but doesn’t extend cleanly to a larger agency where account managers and sales operators have different views.

Wrong for: agencies running heavy outbound where the work doesn’t happen in your inbox. Wrong for teams that need separate sales and delivery pipelines side by side.

Pricing: Growth $39/seat/month. Pro $64/seat. Enterprise $124/seat (5-user minimum, $620/month minimum spend).

5-question scorecard: Same pipeline yes. Surfaces follow-ups yes. Productive in under an hour yes. Seats-only pricing partial. Customizable without an engineer partial. 3.5 of 5.

Verdict: Strong pick if you’re inbound-heavy and Gmail-native. Weaker for high-volume outbound or larger teams.

6. The free tier is real, not crippled, and works for genuinely small operations with a clean interface and a basic visual pipeline.

The ceiling is low though. The free tier caps out at 2 users and 250 contacts (you hit either limit and you’re upgrading). Once you cross those caps you’re paying, and Starter doesn’t include the automations or reporting dashboards a growing agency wants. Those start at Growth ($38/seat). It’s a great starting point for a brand-new agency with 5 deals in the pipeline. It’s not where you’ll be in 18 months if things go well.

Wrong for: any agency past the early days. Notion-like, modern, designed for teams that hate how CRMs look. The contact-first data model works well for agencies where relationships matter more than deal-stage discipline (think PR, influencer marketing, partnership-heavy agencies).

It’s still maturing as a product. Some core CRM features feel light compared to Pipedrive or Fluid CRM, and the pipeline view, while pretty, is less battle-tested. Folk fans are loyal, but the product is best for agencies that care more about the look and the contact-relationship model than about pipeline mechanics.

Wrong for: agencies running disciplined sales pipelines with strict stage rules. Wrong for outbound-heavy teams.

Pricing: Standard $30/seat/month. Premium $60/seat. Custom from $100/seat. Native dialer, power-dialing, call recording, SMS and sequences. If your agency runs an SDR team cold-calling 100+ times a day, or you’re a lead-gen agency where outbound is the service, Close earns its price.

Most marketing agencies don’t run that way. Retainer work, project work and inbound-led pipelines don’t need a dialer. The features that justify Close’s price (Power Dialer, unlimited call recording) are the ones most agencies won’t open. For a true solo founder with under 20 deals, a well-built sheet works. The whole “you don’t need a CRM yet” argument has merit at that size.

The breakdown happens at the team coordination layer. The pattern I saw at Fenixtal across dozens of marketing agencies. One person owns the Sheet, nobody else updates it, two weeks later it’s stale. Or worse, every team member has their own Sheet and nobody knows what anyone else is doing.

Danielle Ferguson, a solo marketing consultant in London, summed up the same pain on her demo call when she described why she finally needed something better than her Trello board: “Otherwise it just becomes unworldly. It just becomes a bit of a guessing game. Which is not ideal.” Same logic applies to a Sheet at a 3-person agency. The tool stops being a tool the moment more than one person has to keep it accurate.

Wrong for: any team of 2 or more that needs to share visibility. The differentiation is in follow-ups, speed-to-productivity and pricing honesty. The highest scores cluster around tools that include features in the seat price instead of gating them behind tiers.

Pricing Math: What Each CRM Actually Costs At 1, 3, And 5 Seats

The advertised price is rarely the real price. The others are all priced at the cheapest plan that actually delivers what a marketing agency needs (automations, multi-pipeline, real reporting). Capsule Starter is cheaper at $21/seat, but caps out before you get workflow automations or reporting dashboards. Same story for HubSpot Starter at $20. Too stripped to do real work.

Salesforce, Free HubSpot and Capsule’s free tier are excluded here. They either don’t include the agency features or cap out before you can use them at team scale.

The HubSpot row is the one that matters most. Sales Hub Professional starts at $100/seat plus a mandatory $1,500 onboarding fee. That onboarding is non-negotiable. The real first-year cost for a 3-seat marketing agency on HubSpot Pro is $3,600 in seats plus $1,500 onboarding = $5,100 for year one. The same agency on Fluid CRM pays $576 for the whole year. This is the upgrade trap Doland talked about, in plain numbers.

If your agency wants marketing automation on top (nurture flows, lead scoring, behavior triggers), that’s HubSpot Marketing Hub, a separate product line that stacks on top of Sales Hub pricing.

How To Set Up Your CRM As A Marketing Agency

Once you’ve picked a CRM, the second decision matters almost as much. How you structure your pipelines. Most agencies need at least two pipelines running side by side, not one.

Sales pipeline: Discovery → Proposal Sent → Contract → Closed Won / Closed Lost. This is the “are we getting hired” pipeline. Keep it short, 4-6 stages max. More stages create the illusion of progress without it.

Delivery pipeline: Kickoff → Onboarding → Active Retainer → Renewal Risk → Renewed. This is the “are we keeping clients” pipeline. The renewal risk stage is the one most agencies skip and shouldn’t. Catching a soft client 60 days before contract end is the difference between renewal and panic.

Run these as two separate pipelines in the same CRM, not one combined pipeline that tries to track sales and delivery in the same column structure. Combined pipelines confuse everyone within a month.

For agencies that also do outbound, a third pipeline (Cold → Replied → Booked → Discovery) can help. [INTERNAL LINK: best CRM for outbound agencies post] covers that setup in depth.

Frequently Asked Questions

Do marketing agencies need a CRM?
If you’re a true solo founder with under 20 deals in flight, no. A clean Google Sheet works. The moment you add a second person to the pipeline or cross 30 active deals, the answer flips to yes. Team coordination is the actual reason agencies need a CRM, not the features.

What’s the cheapest CRM for a marketing agency?
Capsule’s free tier is the cheapest real option for 2 users and 250 contacts. After that, Fluid CRM at $16/seat with every feature included is the lowest total cost for a small agency. Pipedrive starts at $24/seat monthly (or ~$14/seat on annual billing) but jumps fast once you need automations or custom fields.

Can I run a marketing agency on Google Sheets?
Yes, until you can’t. The breakdown almost always happens at the second team member, not the volume of deals. One person can keep a Sheet pristine. Two can’t, unless they talk to each other constantly about who’s editing what. Most agencies switch within 12 months of hiring their second salesperson.

What’s the best free CRM for a marketing agency?
Capsule’s free tier is the strongest fully free option, with a real product up to 2 users and 250 contacts. HubSpot’s free CRM exists but pushes you hard toward paid upgrades for features you’ll need within weeks. Most “free” CRMs are either crippled trials or tracking systems for upgrade pressure.

Is HubSpot worth it for a marketing agency?
For most marketing agencies under 20 people, no. You’ll pay for HubSpot’s full suite and use a fraction of it. HubSpot is worth it specifically when you run heavy nurture flows with lead scoring, when clients pay you for multi-touch attribution reporting, or when you have separate sales and marketing departments at 20+ people. Otherwise you’re funding features you don’t open.

Conclusion

The honest version of this post is short.
