They talked for twenty minutes, they liked you and they said “send me something” at the end. Three weeks later you have heard nothing, and the fix is in how the call ended and what you did that same day.

A discovery call is a first conversation of 20 to 30 minutes where you and a possible client find out if their problem is one you can solve. They do most of the talking, and it ends with a next step that has a date on it. Fluid CRM users keep that date as a reminder on the deal.

This guide is for consultants, coaches, agencies and freelancers, where the person on the call is also the thing being bought.

What a Discovery Call Is (and What It Is Not)

A discovery call is a fit check that works in both directions. The client is deciding if you understand their problem, and you are deciding if this is work you want and can do well. When you sell your own expertise, a bad client costs you months of your own time, so your half of that decision matters as much as theirs.

It is not a free consulting session. If you solve the problem on the call, there is nothing left to hire you for, and the person leaves with advice they have no plan to act on.

It is not a pitch either. A sales call is where you present an offer and a price, and a discovery call is where you find out if you should make one.

For small pieces of work the two can happen in the same half hour. For bigger work they are two calls, which is how I split them in this guide to building a sales process.

How To Structure a 30-Minute Discovery Call

Thirty minutes is long enough to understand a problem and short enough that nobody turns it into free consulting. This is the structure I would use, with the time each part gets.

Minutes

Part

What happens

0 to 2

Set the frame

Say how the call works and that either side can say no

2 to 14

Their situation

They talk, you ask and take notes

14 to 19

What it costs them

Put a number or a consequence on the problem

19 to 24

Fit and money

Who decides, and your price range out loud

24 to 27

Your read

Say what you heard and if you can help

27 to 30

The next step

Agree a date before you hang up

Before the call (ten minutes of prep)

Look at their website and their LinkedIn profile, find the one thing that probably made them reach out and write it down as a guess you will test in the first five minutes.

Then check what you already have on this person. If they emailed you twice last spring or came through a referral, that history should be in one place you can open in seconds, which is the whole job of a consulting CRM.

Set the frame (minutes 0 to 2)

Open by saying how the call works, and say plainly that you might not be the right person. This one line changes the whole call, because a seller who is willing to say no sounds like an expert and not like someone who needs the work.

“Thanks for making the time. I’d like to spend most of this call understanding what’s going on, then tell you honestly if it’s something I can help with. If it isn’t, I’ll say so and point you to someone better. If it is, we’ll agree a next step before we finish. Does that work?”

Their situation (minutes 2 to 14)

This is the biggest block, and it belongs to them. Ask a question, then stay quiet for longer than feels polite, because the second thing people say is usually closer to the truth than the first.

What it costs them (minutes 14 to 19)

A problem with no cost attached is a problem nobody pays to fix. Ask what it has cost so far, in money, in hours or in a client they lost, and let them do the math out loud. Your price will be judged against that number later, and a price judged against nothing always looks high.

Fit and money (minutes 19 to 24)

Find out who else has a say, then say your price range out loud.

“Before we go further, I want to be upfront about cost so I don’t waste your time. Work like this with me usually costs between [your low figure] and [your high figure], depending on scope. Is that in the range you had in mind?”

Then stop talking and let them answer. If the range lands badly, do not discount on the spot. Ask what number they had in mind and what they expected it to cover.

Your read (minutes 24 to 27)

Say back what you heard in three sentences, using their words, and tell them if you can help. Keep the how for the proposal.

If it is not a fit, this is where you say it. Name the reason, suggest someone else if you can and end the call early.

The next step (minutes 27 to 30)

Agree what happens next and put a date on it while you are both still on the call.

“Here’s what I’d suggest. I’ll put a proposal together and walk you through it on a short call, so you can ask questions instead of reading a PDF alone. If the answer to question 10 is three consultants in two years who were all useless, you will probably be the fourth. If nobody has time to do the work in question 11, your results will be poor and your name will be on them.

Stop for a second and think about your last three discovery calls. A page of notes nobody reads again is worse than four lines you can find in ten seconds, so write these four and nothing else.

Their words for the problem. The exact phrase, not your tidy version of it.

The number. What the problem costs them, as they said it.

Who decides. Every name, and what each one cares about.

The next step and its date. What happens, who does it and when.

Those four lines belong where the rest of the client’s history is. In Fluid CRM that is the deal, which holds your notes, the activity history and a reminder for the next date. A deal also holds one contact, so a second decision-maker goes in the notes by name. If you take your notes in Claude or ChatGPT, you can connect it to Fluid CRM and ask it to add the note and set the reminder.

The 24 Hours After a Discovery Call

At my outbound agency Fenixtal we booked 1,250+ sales calls for B2B clients, and I sold the agency’s own services on discovery calls myself. On my own calls a deal rarely died because the lead was wrong, it died after a good call with no next call in the calendar.

Book the next step before you hang up

A next step without a date is a hope. “I’ll send something over” and “let’s talk next week” both feel like progress and both leave the client free to disappear politely.

Book the proposal call while you are still talking, send the calendar invite within the hour and set the reminder on the deal for that date. Hanna-Maria Ojala, CEO of the sales coaching company Menestyvä Myynti, described what seeing the next step on every deal gives her.

“It’s simple to see where each deal stands and what needs to happen next. My daily work is more focused now.”

A Fluid CRM deal holds one reminder at a time, so use it for the proposal call and keep the recap and your walk-away day in the deal notes. The call itself goes in your own calendar, because Fluid CRM has no scheduling and no calendar sync.

Send the recap the same day

Send a short recap before you close your laptop for the day, while their own words are still fresh. It proves you listened and gives them something to forward to the other people who decide.

Subject: What we covered today

Hi [Name],

Thanks for the call. Here is what I took from it, so you can correct anything I got wrong.

The problem, in your words: [their phrase].

What it has cost so far: [the number].

What you want instead: [the outcome].

Who else is involved: [names].

The range we talked about: [low] to [high].

Next step: I’ll walk you through a proposal on [day] at [time]. The invite is in your calendar.

[Your name]

You can BCC the recap into Fluid CRM so a copy is saved with the rest of the history. That is BCC logging, so nothing comes in from your inbox by itself.

Present the proposal on a call

Never email a proposal cold. A PDF sent alone gets opened at the price page and left for later, and you never hear which part put them off.

Walk them through it on the call you already booked, then send the document straight after. If they have questions about price or timing, you can answer them while they are still deciding, and I wrote down the scripts I use for the common sales objections that come up at this point.

When to walk away

Walk away when you cannot get a dated next step. If the client will not book the proposal call and will not name a day to decide, ask once, plainly, if this is still something they want to solve now.

If the answer is vague a second time, close the deal as lost and write the reason in the notes, so your sales pipeline stages only hold deals that are still moving. If timing was the only problem, add them to the list you use to keep in touch with clients and check back later.

When Consultants and Coaches Should Skip the Discovery Call

A discovery call is not always the right first step, and offering one by habit can cost you work. Skip it in these three cases.

The work is small and has a fixed price. A one-off audit or a single workshop does not need a 30-minute fit check.

A referral arrives ready to buy. If a past client sent them and they already know what you do and what it costs, a discovery script will feel like a hurdle. Confirm the scope and send the agreement. My guide on how to ask for referrals shows how to get more of them.

They only want free advice. Someone who asks to “pick your brain” is not a prospect yet. Point them to something you have published.

The call is worth 30 minutes when the work is big enough that a bad fit would hurt both of you. With three open conversations you can hold all of this in your head and a notebook. Once there are more than that, the best CRM for consultants is the one you will keep up to date.

Discovery Call FAQ

Should a discovery call be free?
For most consultants, coaches and freelancers, yes. A free call removes a barrier while you still need more conversations. Some established coaches with a full calendar charge a fee and credit it toward the program if the client signs.

What is the difference between a discovery call and a sales call?
A discovery call is for understanding the problem and checking fit. A sales call is for presenting an offer and a price. For small pieces of work both can happen in one conversation, and for larger work they are usually two separate calls.

Is a discovery call an interview?
Not in the job sense. Both sides ask questions and both sides are deciding. The client is working out if you understand their problem, and you are working out if this is a client and a piece of work you want to take on.

What do you send after a discovery call?
Send a short recap the same day. It should repeat the problem in the client’s own words, what it has cost them, what they want instead and the date of the next step. Send the proposal after you have walked them through it on a call.

Your Next Discovery Call, Start to Finish

Before your next discovery call, spend ten minutes on prep and open with the line that says either side can say no.
