This guide gives you the tabs, the exact columns and four formulas you can check against example rows.

A Google Sheets CRM for one person selling alone needs three data tabs, which are Contacts, Deals and Activity, plus a small Summary tab. Add a Stage dropdown, a filter view per stage, a rule that turns overdue next steps red and a
SUMIF
for pipeline value by stage. Fluid CRM imports the sheet later.

The 3 Tabs a Google Sheets CRM Needs

A CRM in Google Sheets needs one tab for people, one for deals and one for what happened. A fourth small tab called Summary holds the totals, so the finished file has four tabs and you only ever type into three of them.

Tab

One row is

What it answers

Contacts

One person

Who is this and how do I reach them?

Deals

One piece of possible work

What is it worth, where does it stand and what do I do next?

Activity

One call, email or meeting

What did we last say to each other?

Summary

One stage

How much money sits in each stage?

The split matters because people and deals are different things. One contact can bring you three deals over two years, and a single tab forces you to retype her email each time.

Those same three lists sit under every sales tool, which is why a simple CRM can take your sheet later without a rebuild. Our guide to the CRM database explains how those records link to each other.

If you only need to remember who your clients are and when to write to them, you need less than this. A one-tab client list with one row per person does that job.

Google Sheets CRM Columns and Example Rows to Copy

The Deals tab has nine columns, Contacts has six and Activity has four. Each table below shows the column letter, the header to type and an example value, because the formulas later in this guide point at these exact letters.

The Deals tab

Column

Header

Example

A

Deal

Brand refresh

B

Contact

Lena Ortiz

C

Company

Kestrel Coffee

D

Value

3500

E

Stage

Proposal sent

F

Next step

Call about the quote

G

Next step date

Yesterday’s date

H

Source

Referral

I

Notes

Wants to launch before spring

Value is a plain number with no currency sign typed in, and Next step date is a real date.

Here are the rows to paste into the Deals tab in step 1. It is a four-tab layout with a dashboard and different stage names from this build, so use one or the other.

How to Build a CRM in Google Sheets in 6 Steps

The build is six steps, and each one uses a feature that already sits in a Google Sheets menu. Nothing here needs an add-on or a script.

If your sheet is set to a locale that uses decimal commas, such as Finland, Germany and most of Europe, type a semicolon in place of each comma inside every formula in this guide.

1. Paste the rows and freeze the first row

Create three tabs and name them
Contacts
,
Deals
and
Activity
, spelled exactly like that. The formulas in step 6 look for a tab called
Deals
, so a tab named “Deals copy” breaks them.

Copy each of the three tables of rows from the section above, header included, and paste it into cell A1 of its tab. Then freeze the header on each tab by clicking View, then Freeze, and choosing 1 row.

Now type three dates by hand in the Deals tab. Put yesterday’s date in G2, a date next week in G3 and another date next week in G4, and leave G5 empty because that deal is won.

2. Turn Stage into a dropdown

A fixed list stops you from typing “proposal”, “Proposal sent” and “quote out” for the same stage, which matters because the totals in step 6 match on the exact words. Select E2 to E500 on the Deals tab and click Insert, then Dropdown.

Enter these six stages as the items, using “Add another item” for each new one:

New lead

Contacted

Meeting booked

Proposal sent

Won

Lost

Each stage now shows as a chip in the cell, and Google Sheets rejects anything that is not on the list. Google’s page on dropdown lists shows the same steps through Data, then Data validation, then Add rule.

3. Make the Activity log pick from your deals

Select B2 to B500 on the Activity tab, click Insert, then Dropdown and choose “Dropdown from a range” as the criteria. Enter this range:

Deals!$A$2:$A$500

Every log line now has to name a deal that exists, spelled the way you spelled it. Do the same for the Type column with a plain dropdown of
Call
,
Email
,
Meeting
and
Note
.

4. Turn overdue next steps red

Select A2 to I500 on the Deals tab and open Format, then Conditional formatting. Under “Format cells if” choose “Custom formula is”, paste this formula and pick a red fill:

=AND($G2<>"",$G2<TODAY(),$E2<>"Won",$E2<>"Lost")

In plain words, a row turns red when its next step date is before today and the deal is still open. With the example rows, the Brand refresh row is red because its date was yesterday. The two rows dated next week stay white, and so does the won deal with no date.

Two things stop the rule from working, and each takes a minute to fix:

The range starts at row 1. Start it at A2 or every color lands one row off.

A date is stored as text. Retype any date that stays white when it should be red.

Google’s guide to conditional formatting rules explains why the dollar sign sits in front of the column letter.

5. Save a filter view for each stage

A filter view shows you one slice of the Deals tab without changing what anyone else sees. Click any cell in the Deals tab, then click Data, then Create filter view.

Open the filter on the Stage header and tick only
Proposal sent
. Click Save view, then Save, and rename it “Proposal sent” under Data, then Change view.

Repeat it for each open stage. For a view of overdue deals, open the filter on any header, choose Filter by color and pick the red fill. Google’s page on filter views covers the buttons.

6. Add up pipeline value by stage

Add a fourth tab named
Summary
. Type
Stage
in A1,
Value
in B1 and
Deals
in C1, then type the six stage names into A2 to A7 in the same order and spelling as the dropdown.

Put this formula in B2 and copy it down to B7:

=SUMIF(Deals!$E$2:$E$500,A2,Deals!$D$2:$D$500)

Put this formula in C2 and copy it down to C7:

=COUNTIF(Deals!$E$2:$E$500,A2)

Type
Open pipeline
in A8 and put this formula in B8:

=SUM(B2:B5)

With the four example rows, the Summary tab reads like this:

Stage

Value

Deals

New lead

0

0

Contacted

0

0

Meeting booked

1200

1

Proposal sent

9500

2

Won

900

1

Lost

0

0

Open pipeline

10700

Proposal sent shows 9500 because the two proposals are worth 3500 and 6000. Open pipeline adds the first four stages only, so won and lost deals stay out of it.

If your numbers differ, check that Value holds plain numbers and that every stage name matches the dropdown letter for letter. If Google Sheets shows a formula error, check that the commas or semicolons match your locale.

A similar build for Excel, with a win rate and a weighted pipeline, is in our guide to building a CRM in Excel.

Feed New Leads Into the Sheet With a Google Form

A Google Form on your website or in your email signature can send new leads to the same spreadsheet, so nobody retypes an enquiry.

Create a form that asks for name, company, email and what the person needs. In the form, click Responses, then Summary, then More, then “Select destination for responses”. Choose “Select existing spreadsheet”, pick your CRM file and click Select.

Each answer now arrives in that spreadsheet. When a lead is real, add a row for it on the Deals tab with the stage
New lead
and a next step date.

To hear about a new answer without opening the file, go to Tools, then Notification settings, then Edit notifications. Choose “A user submits a form” and “Email – right away”.

Where a Google Sheets CRM Stops

A Google Sheets CRM stops at three points, which are reminders, a second editor and the history of each deal. All three come from the same cause, because a spreadsheet only tells you something when you open it and look.

Reminders are the big one. Google Sheets can email you when any change is made or when a form is submitted, and Google’s page on notification settings says finer rules need Apps Script.

Certain work and school accounts also have conditional notifications, which send an email when a cell’s value changes. A cell that changes because of
TODAY()
is not a reliable trigger, so the red row waits for you to open the file.

A second editor works better than its reputation, as long as both of you use filter views. A normal filter changes the view for everyone with access, so one person filtering to their own deals hides rows from the other.

For history, right-click any cell and choose “Show edit history” to see its past changes. That history does not show added or deleted rows, so a deal somebody deleted by accident leaves no trace there.

At Fenixtal we built 12M€+ in pipeline for 50+ B2B clients. My view from that work is that a short sheet you update every day beats a long one you avoid, so stay on the sheet for as long as you sell alone and open it daily.

Our rule of thumb is about 30 open deals. Past that point most of the list is off the screen, and Google Sheets vs CRM goes through the signs that it is time to switch.

Moving Your Google Sheets CRM Into a Simple CRM

The Deals tab you built moves into a CRM as one CSV file, because every column already has a matching import column.
